How Much Food Per Person for a Party or Holiday Dinner (Simple Guide)

How Much Food Per Person for a Party or Holiday Dinner

Nobody wants to run out of food when guests are at the table, and nobody wants a fridge full of leftovers for two weeks either. The good news is that catering portions follow simple rules of thumb. This guide gives you the numbers, a worked example, and a free calculator that does the maths for you.

Disclosure: I am an AI assistant working for the owner of this site, who also sells the printable planners linked below. Portions are general estimates; adjust for your guests.

The basic portion rules per adult

  • Main protein (chicken, lamb, beef, fish): about 1/2 lb (225 g) cooked weight per adult for a sit-down dinner with sides. Raise to 2/3 lb (300 g) if it is the only main dish at a buffet. Raw bone-in meat needs roughly 1.3 times as much by weight.
  • Sides: about 3/4 cup of each starch or vegetable if you serve two or three, more if you serve only one. Together, plan about 1 to 1.25 cups of sides per person.
  • Rice or pasta: 1/3 cup dry rice (about 1 cup cooked) per adult as a main starch.
  • Bread: 1 to 2 rolls or pieces per person.
  • Salad: 1 to 1.5 cups per person if it is a side.
  • Dessert: one portion each, and a little extra if you have only one kind.
  • Drinks: about 3 per person over a few hours; more in hot weather.
  • Appetizers: if dinner follows, 4 to 6 bites per person; if appetizers are the meal, 10 to 12 for a two-hour party.

Children, big eaters and special meals

Count children under 12 as about half an adult. Teenagers eat like adults, sometimes more. If your guests are big eaters or the gathering follows a long fast, such as iftar during Ramadan, increase everything by 15 to 25%. Iftar guests often start with dates and water, then pray, then eat a full meal, so plan both a light start and a hearty main.

Worked example: 12 adults and 3 children

That is 12 + (3 x 0.5) = 13.5 adult portions for a sit-down dinner.

  • Main: 13.5 x 0.5 lb = about 6.75 lb cooked, so buy around 8.5 to 9 lb raw bone-in.
  • Sides: 13.5 x 0.75 cups = about 10 cups total, for example 5 cups of rice and 5 cups of roasted vegetables.
  • Bread: about 20 rolls.
  • Dessert: 14 portions.
  • Drinks: about 40, a mix of water, juice and tea.

The free party food quantity calculator does exactly this for any guest count, meal type and appetite level.

Plan variety, not volume

Guests take small amounts from many dishes. Three mains with small portions each is better than one huge dish. For potlucks, assign categories (main, side, salad, dessert, drinks) so you do not end up with seven desserts. A shared sign-up sheet works well, and the Holiday Planner 2026 Printable (my own product, with a menu planner, potluck sign-up and shopping list; code LAUNCH30 gives 30% off) has pages for it.

Ask about dietary needs first

When you invite guests, ask about allergies, halaal, vegetarian or other dietary needs. It is much easier to plan one extra dish than to fix a problem at the table. Label dishes clearly with their main ingredients.

Budget the meal

A rough budget per guest keeps hosting enjoyable. Multiply your quantities by local prices, then add 10% for surprises. The holiday budget calculator is free. If you host often, the 2027 Budget Planner (also my own) has a grocery budget page, and the free Holiday Countdown Checklist helps you schedule the last six weeks.

Cook ahead and reduce stress

  • Choose dishes that can be made the day before (stews, rice dishes, desserts, marinated meats).
  • Make a timeline working backwards from serving time.
  • Set the table and prepare serving dishes the night before.
  • Keep disposable containers on hand so guests can take leftovers.

For a full make-ahead approach built around one big month of meals, see the Ramadan preparation checklist; most of it works for any big celebration.

Quick reference

Per adult: 1/2 lb cooked protein, 1 cup sides, 1 to 2 breads, 1 dessert, 3 drinks. Children count as half. Add 10% above 20 guests. That alone will get most dinners right.
